Installation instructions for QuickBooks Desktop

ACH Pro has a real-time integration with QuickBooks Desktop (Pro, Premier and Enterprise). This guide will walk you through the steps to configure QuickBooks to work with ACH Pro.

Prerequisites

  1. A Premium or Ultimate ACH Pro account (you can sign up here)

  2. A Windows computer running QuickBooks Desktop Pro, Premier or Enterprise version 2019 or later (prior version may work but we can’t guarantee a flawless connection)

NOTE: If you run QuickBooks in multi-user mode, take special care to only install ACH Pro in QuickBooks Web Connector on one computer.

Instructions

1. To get started log in to ACH Pro, click your name in the top right corner and click Settings in the dropdown.

2. On the Settings page, scroll down to the Apps section. Click Connect on the QuickBooks Desktop tile.

3. A configuration window will open. Enter a strong password, this password will be used by QuickBooks when connecting to ACH Pro. Click Update Password to save your changes.

4. After saving your password, download the ACH Pro connection file by clicking the blue Download button.

You can also modify which items you want to sync from QuickBooks. You can use the Sync button to sync the selected items after the installation, and you can use the Save button to save your sync selections.

5. You will need QuickBooks Web Connector to use the connection file. You can download the application for your version of QuickBooks here. This will download a zip folder to your computer, unzip folder by right clicking on it and clicking Extract All.

NOTE: If you run QuickBooks in multi-user mode, take special care to only install ACH Pro in QuickBooks Web Connector on one computer.

6. If QuickBooks Desktop is running, close it.

7. Open the extracted folder and find a file called QBWebConnectorInstaller.exe Right click the file and Run As Administrator, follow the steps in the install wizard to completely install QuickBooks Web Connector.

8. Now that the web connector is installed, open QuickBooks Desktop and log in to the company file you want to connect to ACH Pro.

9. Double click the ACH Pro connection file you downloaded in step 4. QuickBooks will display a window with details about the connection, click OK to continue.

If QuickBooks Web Connector doesn’t run automatically, search for “Web Connector” in the Start menu or look in C:\Program Files (x86)\Common Files\Intuit\QuickBooks\QBWebConnector for a file called QBWebConnector.exe.

10. ACH Pro should now be added to the web connector. To finalize the connection, click the empty checkbox on the left side of the ACH Pro row. Enter the password you created in step 3.

Do not change any other fields because they may break or significantly impact the performance of the connection. Web Connector and QuickBooks Desktop must be running for the connection to work. The Auto-Run checkbox must also be checked for the connection to work.

11. Every few seconds the ACH Pro row will update. If the status text is green, the connection is working.

12. If you see red text, make sure the password you entered is correct. You may also see red text when other errors occur such as when QuickBooks Desktop isn’t open.

13. You can now sync data and pull transactions in ACH Pro

14. If you receive the following error in ACH Pro, make sure the appropriate company file is open in QuickBooks Desktop and that the web connector is running.
